Instructions for Authors

Online submission

Abstracts can only be submitted online, starting from 01 October 2023. Please use the following URL:
www.worldmeeting.org/home/abstract-submission/

Please use only the prepared doc. documents for your submission of abstracts on Template for papers.

Deadline for abstract submission extended: 30 November 2023

Authors can select their preference of presentation mode: oral presenation or poster presentation. Authors who select oral presentation and are not selected for an oral presentation during the evaluation will be automatically evaluated a second time for a poster presentation. So authors do not need to submit one abstract for both preferences.

Abstract registration number/ticket

You receive at the end of a successful submission a registration ticket number. Please annotate this number. With the number you can update your abstract or details and you need the registration ticket number during your registration to the conference. If you have submitted more than one poster you have to endorse all registration ticket numbers during your registration. The registration of the numbers is necessary for the organisational process.

Edit your Abstract

Authors can edit their data and upload the latest version of their abstract by using the function "Status of your abstract" until 15 February 2024. There they can view the current status of acceptance of their abstract as well. 

Abstracts

Submitted abstracts will be presented from 19- 21 March 2024, either orally or in poster form. Abstracts will be published on an digital abstract book and listed in the printed conference book with title and authors.

Acceptance of abstracts

Authors will be notified of acceptance of their abstract and the type of presentation (oral or poster) by end of December 2023.

Authors also have the possibility to view the status of their abstract by using the function "Status of your abstract".  There they can view the status as well as they can edit their data and upload the latest version of their abstract. 

Status of abstracts

  • printed - the abstract is corresponding to the specification/the form is accepted for abstract evaluation. The abstract was printed and prepared by organizer for abstract evaluation via the programme committee.
  • inprocess - the abstract is NOT corresponding to the specification/the form is NOT accepted for abstract evaluation. The author has to adjust the abstract according to the given word template. Once the abstract is changed according to specifiations it will be set to printed.
  • poster - the abstract is accepted for poster presentation. More information will be provided - the day of presentation immediatley and until the latest one week before the conference starts the panel number.
  • oral - the abstract is accepted for a short talk. More information will be provided immediately - day, session, time slot and room of presentation.

Oral presentations

There will be 72 slots for oral presentations. The time limit for oral contributions will be exactly 20 minutes including 5 minutes discussion. 

Posters

Posters will be presented during special sessions on one specific day. The panels for the poster presentations have the following size: height 120 cm, width 90 cm (DinA0 portrait). The posters must not exceed this size. We suggest to print the posters on paper with a weigh of about 125 to 170 g/m², so that they can be fixed easily without plunge to the ground because it is to heavy or made of (woven) fabric.
